The Logistics Coordinator is a member of the acquisitions team of volunteers and is primarily responsible for the locker at Dymon Storage. This role also manages the [email protected] email address, which receives messages sent using the “Contact us” form on the website. These messages are generally related to book donations, and occasionally related to volunteer opportunities. This email address is also the primary contact email for business correspondence such as insurance and memberships.
Duties and responsibilities include but are not limited to:
Manage Dymon partnership/sponsorship and storage unit lease;
Respond to calls from Dymon regarding new deliveries of books to put in our unit;
Assist with storage unit: heavy lifting and organising, moving books or equipment from one location to another;
Communicate with volunteers or partners with storage unit access, regarding storage unit updates or other relevant information;
Procurement lead for non-book items;
Manage [email protected] inbox: respond to and triage messages to appropriate Board member, ensure prompt replies, records management for this inbox ; and
Track renewal dates for insurance and memberships such as Volunteer Ottawa and Volunteer Canada, and arrange for payment as appropriate.
Along with the Acquisitions Lead:
Respond to offers of book donations;
Keep track of number of book donations dropped off at Dymon Storage and add donor name and contact info to Donation tracking sheet;
Arrange for pick up/receipt of donated books;
Transport books to storage room;
Assist with developing methods for organizing acquired books; and
Monitor office supplies on hand in the storage room and initiate replenishment as needed.
Qualifications
Access to a car; and
Be able to lift and carry boxes of books.
Estimated time commitment: 6-8 hours per month
Work location: In person
